Request for Proposal (RFP) - Educational Interactive Display Procurement
Dear Prospective Vendors,
Crestview Local Schools is seeking proposals from qualified vendors to provide an Educational Interactive Display solution that meets the specific requirements outlined in this RFP. Our organization is committed to enhancing the educational experience through technology, and we are looking for a solution that is not only innovative but also compatible with our existing Boxlight NDMS management system. Furthermore, the chosen display should be capable of being mounted over a whiteboard (height adjustable), affixed directly to a wall, or mounted on a height-adjustable mobile unit.
I. General Information
1. **Project Overview:**
Crestview Local Schools is interested in procuring 15, 75-inch and 11, 65-inch Educational Interactive Displays to be used in our educational classrooms. Hardware setup/configuration, Installation, and training should be included in your proposal.
2. **Display Requirements:**
The following requirements must be met:
a. The displays must be 75 inches in size (quantity of 15), and 65 inches in size (quantity of 11).
b. It should be compatible with the Boxlight network Device Management System (NDMS) system.
c. The display should have interactive capabilities suitable for educational purposes, including touch-screen functionality and high-resolution display.
d. The display should support a variety of input and output sources, such as computers, tablets, Chromebooks and other educational technology devices via HDMI, USB-C, ethernet, wireless, and AirPlay.
e. It should have a built-in sound system and the capability to connect to external audio devices.
f. The display should be energy-efficient and comply with relevant energy-saving standards.
3. **Mounting Options:**
The display should be capable of being mounted over a whiteboard, affixed to a wall or affixed to a mobile cart. Vendors must provide mounting options and accessories as part of their proposal. 8- Direct Wall Mounts, 11 Over a dry-erase whiteboard mount, with balance-box style mount (height adjustable), 5 over a dry-erase board mount with no height adjustment, and 3 mounted on Mobile Carts. (We reserve the right to adjust mounting types/quantities once a vendor is chosen and a more in depth walk-through is conducted).
II. Proposal Submission Guidelines
1. **Proposal Deadline:**
All proposals must be submitted by November 17th, 2023 no later than 3:00pm (Eastern Standard Time).

III. Evaluation Criteria
Proposals will be evaluated based on the following criteria:
1. **Compatibility with Boxlight NDMS:**
The extent to which the proposed display is compatible with the Boxlight NDMS system.
2. **Technical Specifications:**
The quality, technical capabilities, and features of the proposed display.
3. **Price and Cost-effectiveness:**
The overall cost of the solution, including line items for the display, any required accessories, cabling, and installation services.
4. **Warranty and Support:**
The warranty offered by the manufacturer and/or the vendor and the availability of technical support and training.
5. **Vendor Experience:**
The vendor's experience and track record in providing similar solutions to educational institutions.
6. **Availability of product:**
The timeline for receipt and installation of hardware.
IV. Proposal Submission
Vendors are required to submit their proposals in accordance with the guidelines provided in this RFP. Failure to adhere to these guidelines may result in disqualification.
Crestview Local Schools reserves the right to accept or reject any or all proposals, to waive any irregularities or informalities in the proposals received, and to award the contract to the vendor whose proposal is determined to be in the best interest of our organization.
